Roots to Racquets Halloween Mixer

Roots to Racquets wanted to create a Halloween-themed mixer that brought families and beginner players together in a fun, welcoming environment. The aim was to deepen community relationships and increase program visibility through a low-barrier, high-energy social event.

I led the event from concept to execution, designing a family-friendly experience with themed activities, simple social-play formats, and smooth on-court flow that kept all 12 families (around 30 participants) engaged from start to finish.

Strategy and Approach

  • Designed an event structure that allowed families and kids to participate comfortably while keeping the focus on fun and community-building. Adapted the format in real time based on attendance and varying skill levels to ensure everyone felt included and engaged.

  • Integrated Halloween elements such as festive music, costumes, trick-or-treat shot challenges, and themed games (including a “zombies vs. humans” twist on sharks and minnows) to build excitement and boost participant engagement.

  • Created pre-event marketing materials outlining expectations, what to bring, who the mixer was designed for, and how the event would run. Also led all email communication to ensure participants had clear, consistent information leading up to the event.

  • Checked participants in, assigned courts, led a team of four volunteers, ran warm-ups, explained formats, and adjusted activities based on turnout to ensure all players stayed active and engaged.

RESULTS

  • 12 families attended, totaling around 30 players

  • Strong participant engagement, with families staying for the entire event

  • Positive feedback about the structure and welcoming atmosphere

  • Increased awareness of Roots to Racquets among new families and beginner junior players

  • A repeatable event template that can be used for future themed mixers

  • Strengthened trust within the local tennis community

IMPACT

Although fundraising was not the focus, the mixer accomplished its core goal: building meaningful community connection and expanding Roots to Racquets’ visibility. The positive experience created a foundation for future participation, programming, and donor engagement.
